Searchroom rules and regulations

NB these rules and regulations relate to all users of the public searchroom.

On arrival

All customers are required to sign the visitors' book and if intending to use archives to register for a CARN ticket, for which two passport size photographs and formal proof of identity (usually comprising a driving licence but containing name, address and signature) are required. Readers' tickets will be retained at the counter until departure.
Coats should be hung at the stand provided and users of original archival material must place baggage and cases, etc. in the lockers provided subject to returnable deposit.

Searchers using the self-service microfilm/fiche readers may not remove more than one film/fiche at a time. Please use the film place markers supplied.

Searchers are invited to retain their requisition slip receipts for future reference.

Using documents

Medway Council has subscribed to the Standard for record Repositories of the Royal Commission on Historical Manuscripts, a copy of which can be made available on application to the staff.

Smoking, eating and drinking are strictly forbidden.
Searchers should use only soft pencil for making notes and under no circumstances should they mark or alter original documents.
Documents should be handled with care and should not be leaned on or touched with any implements.
Photographic prints and negatives, microfilm and microfiche should be handled by their edges only and with the exception of film/fiche should only be handled by searchers wearing cotton gloves available from the staff.
Any damage should be reported to searchroom staff immediately.

General

Use of the archives is strictly by appointment.
Talking should not exceed a reasonable level. Mobile telephones should be turned off and telephone conversations via mobile telephones should be conducted off the premises except in emergencies.
School children and teachers intending to use archives are advised to arrange their visit with the Heritage Section Education Officer in advance on 01634 848717 or by e-mail at: jeremy.clarke2@medway.gov.uk

Special facilities

Documents may be traced with a soft pencil at staff discretion, for which plastic sheets can be supplied for inter-leaving between tracing paper and original documents. The use of laptop computers, audio equipment or other electrical equipment is permissible by arrangement in advance.
Private photography is not permitted but staff will arrange for work to be undertaken commercially on completion of the appropriate form.
