Instructions General. All text searches default to global searches of the database unless you select one or more collection paths in which case results will be limited to the path or paths selected. Searching by either global text search or text search within selected paths produces results comprising either individual document descriptions (i.e. piece-level descriptions) or summary accessions descriptions. Many results will be accompanied by "view images" buttons enabling you to view images of the original document. Do not use punctuation marks in search text. Use your page down and up keys to scroll your results. Collection reports can be produced without using text or date searches, see Collection Paths Box below. Searches using the text search box are case insensitive. Exact phrase searching. Type the exact phrase e.g. Rochester City Council into the search text box and tick the box against the exact phrase option, beneath the text search box. Remember, you may also select a collection path to search within and or date to return fewer results. Do not use inverted commas. Click the submit query button. Collection paths box. This box contains our collections structure enabling you to make either a text/date search within a selected top level management groups or groups (i.e. categories of collections), though archive groups (i.e. individual collections) or level and section headings (i.e. organisational departments, sections or record series within individual collections), any number of which can be selected or to make a collection report (see collection reports, below). To descend through the structure, click on the folder icons to reveal constituent sub-folders and select a path. Click the submit query button. Search text. Type words relevant to your query into the search text box. Click the submit query button. The words found are contained in the archivist's piece-level descriptions of archival documents. The more words you use, the fewer results will be returned. Singular tense in nouns also finds plural tense e.g. architect will find architect and architects. Searches for more than one word default to Boolean AND enabling you to search for more than one word (i.e. associated words), each of which will occur in each of the individual results. Search dates. You may search for documents created at a specified date, or containing mention of a date by one of several methods. This can be done simultaneously with a text search. You cannot search between dates but you can search a decade or century. Remember to click the submit query button.
Exact phrase searching. Type the exact phrase e.g. Rochester City Council into the search text box and tick the box against this option. Remember, you may also select a collection path to search within and or date to return fewer results. Do not use inverted commas. Click the submit query button. Verbose results. This defaults to off. Ticking this option after entering search text and clicking the submit query button produces a list of collection paths followed by individual document descriptions as contained within these paths, enabling you to preview and discriminate between results according to category of collection. Boolean operator. The Boolean selector enables you to select the OR operator enabling you to search for results economically by combining multiple alternative words in one search, e.g. women, girl, woman, lady, ladies, female, feminine, maternal. Click the submit query button. Number of results. This defaults to 25 per page but you can choose 10 or 50 Selected paths box. This box shows which if any collection paths you have selected if you have specified to search within a collection or collections or produce a collection report (see below). Collection paths box. This box contains our collections structure enabling you to search within top level management groups (i.e. categories of collections), though archive groups (i.e. individual collections) or level and section headings (i.e. organisational departments, sections or record series within individual collections), any number of which can be selected. If you wish to browse a specific collection's piece-level document descriptions and introductory section from top to bottom without using text or date retrieval, select a folder or sub-folder from the menu and click the submit query button. This is equivalent to browsing a traditional manual descriptive list. Use your page down key. |
